Bilateral exchanges

On their own initiative, groups of judges, prosecutors or court staff from the same court or prosecution office spend one week in a court or prosecution office in another EU member state to exchange experiences and best practices on a specific topic of common interest.


HOW TO APPLY?

Interested? To take part, you must apply to the annual Exchange Programme call for applications (every autumn). Read the dedicated call for applications page to keep updated about exchange opportunities under the Exchange Programme.

IS YOUR COURT / PROSECUTION OFFICE PARTICIPATING?

Please find below a summary table of the exchange practicalities.

BEFORE THE ACTIVITY
Contact person / responsible of the exchange

 

At the latest 2 month before the starting date of the activity, the responsible contact person must:

  1. Take contact with the hosting Court and name a contact person for EJTN

  2. Inform the national institutions in both member states about the bilateral exchange

  3. Provide a hosting agreement issued by the hosting court

  4. Share the participant registration link with all members of the delegation

At the latest 2 weeks before the starting date of the activity, the responsible contact person must:

  • Provide a final agenda of the exchange that was agreed upon with the hosting court.

Participant


At the latest 1 month before the starting date of the activity, the participants must:

  1. Read the financial conditions and the Frequently Asked Questions

  2. Complete the online registration form by using the link received by email

  3. Check with his/her employer that he/she will remain covered during the whole training period by the social security scheme applicable to the concerned national administration and that the latter will support the health expenses incurred abroad

  4. Make sure that he/she is insured against accident, death and invalidity risks

DURING THE ACTIVITY

The Participant shall respect the terms and conditions of the programme (training schedule, content).

AFTER THE ACTIVITY

Within 1 month after the activity, the participant must:

Complete the post-activity reimbursement on the Exchange Programme online platform by using the individual link received by email:

 1. Complete the online evaluation form

2. Fill in the statement of costs online and upload the following documents onthe   Exchange Programme platform:

  • COPY OF BOARDING PASSES, TRAIN AND BUS TICKETS. 
  • Only if the ticket does not clearly show the amount claimed, please also include the INVOICE from the travel agency or the airline.
  • If travel by car: EXTRACT FROM GOOGLE MAPS TO PROVE ITINERARY

Within 3 months after reception by EJTN of all required documents, EJTN makes the final payment to the participant.
